NOTTINGHAM AND NOTTINGHAMSHIRE DRAMA ASSOCIATION Minutes of the Meeting of the Executive Council held on Tuesday 17th February 2009 at East Leake. Present: Joan Wildgust (Chairman), Christine Davison (Secretary), Neil Mackintosh (Treasurer), Madeline Lord, Roy Ainscough,, Alan Spooner, Tony Vokes, Mel Reynolds, Mike Stewart, Hayley Masom, Linda Whitehurst, Christine Chapman, Bob Wildgust. 1 Apologies for absence were received from Jack Barrett, Jon Jones, Sonya Oates. As Joan Wildgust did not arrive until 8pm, the first part of the meeting was chaired by Roy Ainscough. 2 Minutes and matters arising. The minutes of the previous Council Meeting held on Tuesday 16th December 2008 had been circulated and these were signed as a correct record. There were no matters arising. 3 Hon Treasurer’s report – as at 17 February 2009 (2 months) Balance = £4356.61 (NS & I = £2195.76 Current = £1640.73 On hand = £520.12 SINCE LAST MEETING Income Play of the Year Entries – 5 @ £60 each = £300 Voice Workshop Course Subscriptions – 14 @ £5 each = £70 Operations Subscriptions:- Group membership – 5 @ £20 each Extra newsletters – 1 @ £5 Newsletters only – 1 @ £5 Subscriptions Total = £109 Expenditure Voice Workshop Tutor’s fee – Julia Grant = £70 Costume and Make-up Workshop Venue hire – Deposit – Lace Market Theatre = £40 Operations Newsletter postage = £25.22 Newsletter printing = £40.00 Chairman’s expenses - AGM = £40.71 AGM Room hire balance Lace Market Theatre = £55.00 Miscellaneous Stanford Hall Users’ Group Membership 2009 = £5 Theatre Book Ongoing balance (including grant) Book Profit = £239.98 (no change) 4 Festivals a) Play of the Year 08/09 and Dinner. There has been a good uptake this year. Seven entries had been received before Christmas and two more this year – Prospect Players and West Bridgford., with a possibility of two more to date. Gill Gautrey had agreed to do the next two adjudications as Carolyn Drury was unavailable owing to family illness. Gill Gautrey had previously adjudicated “A Midsummer Night’s Dream" at the Nottingham Arts Theatre for this year’s festival. Dinner There has been no further news about the availability or otherwise of Cotgrave Golf Club for this year’s dinner. The Council was asked to consider a theme for the dinner and discuss it at the next meeting. We need to consider a venue for next year’s dinner and book it at least by June 2009. The West End Restaurant in West Bridgford was discussed as a possibility b)One Act Festival Bob Wildgust confirmed that the One Act Play All England Final would be held in Litchfield in 2010. The entries for this competition would need to be in by 25th June 2010. Interested groups would need to get involved by March 2010. A target of 9 plays would be needed and the event would need to be marketed to persuade groups to enter. Bob volunteered to attend the meetings for the 2009 festival. The sub committee will meet soon to discuss this further. c)Youth Festival Sarah Kelly is to send the entry form to Hayley and all youth groups. Joan is to send the entry form to all specialist (drama/performing arts) schools. The venue- Chilwell Olympia – has been booked for 7th, 8th and 9th May 2009. Details need to be submitted to Hayley by 26th February. If there are not enough entries, the 7th will be cancelled and the event re-organised over 2 days. 5 Update on Workshops The voice workshop had been a success, with about 20 people attending. Jean Alton and Madeline Lord will run the costume workshop. To date there is no-one to run the make-up workshop. 6 Theatre Luncheon As Jack is indisposed at the moment, Joan has taken over the organisation of this event. This will go ahead as planned on Tuesday 17th March 2009 at the Welbeck Hotel. There is some doubt about Roy Marsden attending as he has had to withdraw from some performances due to health problems. Joan has been assured by Bill Kenwright that if Roy Marsden cannot attend then another member of the cast of “Pack of Lies” will stand in. 7 Newsletter/Website The newsletter has just gone out. The next one will be out in mid May so articles need to be to Hayley by the first week in April, including the following:- Increase in membership fees, due September (Neil) Gurd award article – need for nominations for this award – cut off date 19th May Nanda dinner Suggestions for sponsorship Profile Article on workshops. 8 Correspondence/Amendments to membership No correspondence. Amendment to membership:- Arcade Players Hon Sec Victoria Hill 9 AOB Tony Vokes raised the issue of auditors and whether groups had their accounts audited (this is not necessary). There was a discussion about the proposed development of Stanford Hall and how this might affect local drama groups’ use of the theatre. There is an on-going consultation between Rushcliffe Borough Council, the developer and Stanford Hall Users’ Group 10 Date of next council meeting. The next meeting will be at 7.00pm on Tuesday 17th March at Arnold. The meeting ended at 8.50 pm. |
